1. Purpose of this policy

Brew & Be Heard is a private, non-clinical listening and conversation service. This Privacy Policy explains what personal information we collect, how we use it, when it may be shared, how long it may be kept, and the choices available to you.

By using our website, booking a session, or participating in a Brew & Be Heard chat, you acknowledge the practices described in this policy.

2. Information we may collect

Contact and booking information, such as your name, email address, phone number if provided, selected service, appointment date and time, and booking status.

Payment and transaction information needed to confirm payment. Payment card details are processed by Wix and/or its payment providers; Brew & Be Heard does not intentionally collect or store your full payment-card number.

Session and communication information, including messages you send through the private chat, emails you send to us, and customer-support communications.

Agreement and consent records, including records showing that you accepted policies or required acknowledgments.

Technical information, which may include IP address, browser or device information, cookie identifiers, security logs, and information about how the website is used.

3. Sensitive information

Because Brew & Be Heard is a listening service, you may choose to discuss personal, family, relationship, parenting, emotional, disability-related, or other sensitive experiences. Please share only what you are comfortable sharing.

Do not send Social Security numbers, account passwords, full payment-card numbers, financial login credentials, or other information that is not needed for the conversation.

Brew & Be Heard is not a healthcare provider and the service is not represented as HIPAA-covered therapy, counseling, medical care, or a personal health record service.

4. How we use information

To schedule, confirm, administer, and provide your booked session.

To verify payment and manage cancellations, rescheduling, refunds, or customer-support requests.

To send transactional messages such as booking confirmations and private chat links.

To operate, secure, troubleshoot, and improve the website and private chat system.

To maintain records reasonably necessary for accounting, tax, legal, fraud-prevention, and dispute-resolution purposes.

To comply with applicable law and respond to lawful requests.

5. Service providers and disclosures

We use service providers to operate Brew & Be Heard. Depending on the activity, information may be processed through providers such as Wix (website, bookings and payments), Supabase (backend and session/chat infrastructure), Netlify (web hosting for the private chat interface), Resend (transactional email delivery), and payment or financial service providers involved in processing transactions.

We may also disclose information when reasonably necessary to comply with law, protect the security of the service, prevent fraud or abuse, or protect the rights and safety of Brew & Be Heard, a client, or another person.

We do not sell or rent private chat content or client personal information for money. We do not use private chat content for targeted advertising.

6. Cookies and similar technologies

Our Wix website uses cookies and similar technologies for essential site functions and may use optional functional, analytics, or marketing technologies when enabled. Where required, non-essential cookies should be controlled through the site's cookie-consent tools.

You can review or change available cookie choices through the cookie banner or privacy controls shown on the website. See the Cookie & Tracking Notice for more information.

7. Data retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to operate and secure the service, to maintain required business and transaction records, to resolve disputes, and to comply with legal obligations.

Private chat and session data are not intended to be permanent personal archives. Retention may vary depending on operational, security, legal, or technical needs. When information is no longer reasonably needed, it may be deleted, de-identified, or securely disposed of where practical.

8. Your privacy choices

You may contact us to ask what personal information we maintain about you, request correction of inaccurate information, or request deletion of information that we are not required to keep. We may need to verify your identity before completing a request.

Some information may need to be retained for payment records, tax records, fraud prevention, security, legal compliance, or to establish or defend legal claims.

9. Security

We use reasonable administrative and technical measures appropriate to a small online service and rely on established service providers for website, payment, hosting, database, and email infrastructure. No website, email system, or internet transmission can be guaranteed to be completely secure.

If we become aware of a security incident involving information for which notification is legally required, we will provide notices as required by applicable law.

10. Children and minors

Brew & Be Heard is intended for adults age 18 and older. We do not knowingly offer the service to children under 18 or knowingly collect personal information from children for the purpose of providing a session. If you believe a minor has provided personal information to us, contact us so we can review the situation.

11. Third-party websites and services

Our website or communications may contain links to third-party services. Their privacy practices are governed by their own policies, not this Privacy Policy.

12. Changes to this policy

We may update this Privacy Policy as the service, technology, or legal requirements change. The effective date at the top of the policy will show when the current version became effective. Material changes may also be communicated through the website or another reasonable method.
